Authors are expected to present their work in person, and the following participants must attend in person: students with an accepted Doctoral Consortium submission; all presenters of an accepted tutorial; and at least one organizer of each accepted workshop.<\/li>\r\n<li>Participants requiring a visa are strongly encouraged to begin the process as early as possible. Participants who, despite a good-faith effort, are unable to travel may request an exception. Requests must be submitted to <a href=\"mailto:umap2027-general@um.org\">umap2027-general@um.org<\/a> by <strong>May 21, 2027<\/strong>, together with supporting documentation &ndash; for example a visa refusal notice, a 221(g) notice, a visa appointment confirmation, or a DS-160 confirmation &ndash; showing that the visa application was submitted within ten days after receiving the visa support letter. Applicants must provide both the ACM visa support letter (or the email transmitting it, showing its date) and evidence of the date on which the visa application was submitted. All requests are reviewed individually by the Organizing Committee and approval is not guaranteed. Where an exception is granted, the arrangements are, in order of preference:\r\n<ol>\r\n<li>Presentation in person by a co-author, or by another person sufficiently familiar with the work to present it and answer questions. Registrations are strictly personal and cannot be transferred, so the substitute presenter must hold their own valid registration.<\/li>\r\n<li>Where no substitute presenter can be found, a live remote presentation via Zoom to the on-site audience. Remote presentations will be grouped into dedicated remote sessions in the program. Presenters must submit a recorded video of the talk by <strong>June 2, 2027<\/strong> as a backup in case of connection problems; failure to submit the recording by that date forfeits the remote presentation slot. If an approved presenter does not appear at the scheduled time, the recording will be played and the presentation counted as delivered.<\/li>\r\n<\/ol>\r\n<\/li>\r\n<li>Remote presentation is not available for posters, demos, tutorials, or Doctoral Consortium submissions. Posters and demos are presented on site, and each accepted poster or demo requires a printed poster. An author who, despite a good-faith effort, is unable to attend for the exceptional reasons set out above, and whose exception request has been approved by the Organizing Committee, must arrange for another person, sufficiently familiar with the work to present it and answer questions, to be present at the poster or demo session on their behalf; that person must hold their own valid registration. If no such presenter can be arranged, the contribution will be withdrawn from the proceedings and the program.<\/li>\r\n<li>Contributions that are neither presented in person nor covered by an approved exception may be withdrawn from the proceedings and the program.<\/li>\r\n<\/ul>\r\n\r\n  <div class=\"umap-visa-subheading\">Registration policy<\/div>\r\n\r\n<ul class=\"umap-visa-list\" id=\"registration\">\r\n<li><strong>General policy<\/strong>\r\n<ul>\r\n    <li>Each accepted contribution to UMAP 2027 must be covered by at least one author registration, completed by the author early-bird registration deadline. This registration must be at the full (non-student) ACM member or non-member rate.<\/li>\r\n    <li>A single registration may cover all accepted contributions on which that person appears as an author, regardless of how many there are and regardless of track. At the time of registration, authors are required to list all contributions their registration is intended to cover.<\/li>\r\n    <li>This requirement applies regardless of whether the author attends in person or presents remotely under the conference's attendance policy. Contributions not covered by a valid author registration by the deadline will be removed from the conference proceedings and the program.<\/li>\r\n    <li><b>Special note for students in the doctoral consortium<\/b>: A student author whose only accepted submission is in the Doctoral Consortium may register at the student rate to cover it. If the same student is also an author on an accepted submission in any other track and wishes to cover it, they must register at the full (non-student) ACM member or non-member rate; that single registration covers all of their accepted submissions, including the Doctoral Consortium.<\/li>\r\n<\/ul>\r\n<\/li>\r\n\r\n\r\n  <li><strong>Student rate<\/strong> &ndash; Available only to those who have student status at the time of the conference. Students will be required to submit a proof of student status (a scanned copy in jpg\/jpeg or PDF format of their student ID) after registration.<\/li>\r\n  <li><strong>ACM membership<\/strong> &ndash; ACM Members will be requested to fill in their ACM number on the registration form to prove their status, i.e., that they are current ACM members, in order to complete the registrations at member rates.<\/li>\r\n  <li><strong>Non-transferable<\/strong> &ndash; Your registration is strictly personal and must not be transferred to another person.<\/li>\r\n  <li><strong>Recording consent<\/strong> &ndash; Recordings of sessions, chats, questions and answers might be captured during the conference for later viewing. By registering for this event, you are granting permission to record your comments and questions during sessions.<\/li>\r\n  <li><strong>What is included<\/strong> &ndash; Registration includes the access to the corresponding conference sessions, coffee breaks, lunch, welcome receptions and banquet dinner, as described in the conference programs. Workshops and tutorials are included in the full general registration. Registering for tutorials or workshops only is not available.<\/li>\r\n  <li><strong>Accessibility needs<\/strong> &ndash; Individuals with accessibility needs are requested to register by the early registration deadline, to allow sufficient time for necessary preparations.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n  <div class=\"umap-visa-subheading\" id=\"refund\"> Cancellation and Refund Policies<\/div>\r\n  <div class=\"umap-venue-text\">\r\n  We understand that travel conditions may be uncertain for some participants, and we aim to communicate our policy clearly.\r\n<\/div>\r\n\r\n<ul class=\"umap-visa-list\">\r\n  <li><strong>General policy<\/strong> &ndash; All registrations for UMAP 2027 are final and non-refundable. This reflects the financial commitments made to the venue and service providers well in advance of the conference. Exceptions are granted only for circumstances beyond the participant's control, such as a visa refusal or delay, or cancelled flights due to international conflicts or border closures.<\/li>\r\n\r\n  <li><strong>Registrations covering an accepted contribution<\/strong> &ndash; A registration that covers one or more accepted contributions cannot be refunded, and cancellation is not possible if it would leave any accepted contribution without a valid author registration. This applies regardless of whether the author is ultimately able to attend or presents remotely under the attendance policy. A refund may be considered only if every contribution covered by that registration remains covered by another valid author registration at the required rate. Where a contribution is withdrawn from the proceedings and the program because the author is unable to attend, that registration ceases to cover it; if the registration no longer covers any accepted contribution, a refund may be requested under the terms below.<\/li>\r\n\r\n  <li><strong>Exceptional circumstances<\/strong> &ndash; Registered participants whose registration does not cover an accepted contribution, and who are unable to attend due to visa issues or other verifiable travel disruptions (for example cancelled flights due to international conflicts or border closures), may request a refund of <strong>up to 90% of the registration fee<\/strong>. The Organizing Committee reviews each request individually; refunds are granted at the Committee's discretion and are not guaranteed. An approved refund voids all access to the conference, including any remote access.<\/li>\r\n\r\n<li><strong>How to request a refund<\/strong> &ndash; Requests must be submitted to <a href=\"mailto:umap2027-general@um.org\">umap2027-general@um.org<\/a> by <strong>May 21, 2027<\/strong>. Participants who are still awaiting a visa decision at that date should submit their request by the deadline on the basis of their expected inability to attend. Requests arising from circumstances occurring after May 21, 2027 (for example a visa decision issued after that date, or cancelled flights) will be considered on a case-by-case basis.<\/li>\r\n\r\n  <li><strong>Doctoral Consortium<\/strong> &ndash; Doctoral Consortium submissions must be presented in person to be included in the proceedings. A student who is ultimately unable to travel will have the submission withdrawn from the proceedings and the program; where that registration does not cover any other accepted contribution, it may be refunded at up to 90%.
